BMES Meeting Minutes

Wednesday, September 21, 2009

3PM

 

Duties of Officers

o   Treasurer

§  ALL original receipts must go to Casey

o   VP’s

§  Oversee all committees

o   Secretary

§  Take and send meeting minutes

§  Send announcements to Webmaster

 

BMES Sponsored Speaker: Professor Robert Langer

o   When? September 30, 2009

o   How? Alumni relations is providing money for transportation

o   Should BMES provide refreshments?

§  If BMES provides refreshments, students should get face time

§  Currently 3:15PM is available

§  Round table would give more face time

·         Plan topics ahead of time

·         BMES should prepare questions ahead of time

·         Moderator to keep on track?

·         Students can ask questions right on the spot

§  Room concerns

·         Create sign-up, cut off at certain number of people

·         Have people from all core labs

·         321 would be good size

o   Where is he speaking?

§  G10 seats 225 people, flat seating (not stadium)

§  Plant science building has nice auditorium

·         270 capacity

·         Stadium seating

§  Statler has nice room too

·         Brooke/Prof Butcher will check

o   Faculty members going to dinner with him

§  Students may want to go since BMES is sponsoring

§  BMES officers may go

§  He is a vegetarian, so restaurant concerns

 

BME Retreat

o   Idea: high quality research talks among diverse students

§  Good and bad

o   Location

§  Weill vs. remote location

o   1st years thought it was orientation!

§  Make orientation a separate event for 1st years to get acquainted w/ labs

o   Get more faculty members

§  Weekday?

§  Before classes start

§  Have at different location maybe

§  Faculty members open the sessions?

§  Make survey for faculty members to discuss these ideas

o   Challenge between groups of faculty and students

§  Cannot be related to research

 

BMES Mixer

o   Next Friday

o   Food

§  Cannot make it here

§  Try different food ideas besides pizza

 

BME Holiday Party

o   Past entertainment: trivia, karaoke, faculty members danced to soldier boy

o   Entertainment ideas

§  Student s do skit

§  Lab challenges where faculty has specific role

§  Interpretive dance of the research of each lab

·         With prop box

·         Given 15 minutes or so

 

Recruitment

o   Social and bar night last year

o   PhD’s have best chance of convincing other potential PhD’s of coming here

o   Maybe it should not be BMES sponsored if MEng’s are not attending

 

New Activities

·         Town Hall Meeting (MEng and PhD)

o   General audience, then split up into MEng’s and PhDs

o   At mixer

 

Committees

·         Professional Development: Mitch Cooper

o   Hour with industry

o   WIP Lunches

o   Professional Development Seminars

o   Ed will oversee this committee

·         Outreach: Mike Mitchell

o   Local middle school

o   Auburn prison

o   Yue oversee this committee

·         Social: Shawn Carey

o   IM Sports

·         Webmaster: John Charest

·         Graduate Professional Student Association (GPSA) Rep: Dhruv Desai

o   Someone must sit in on the meeting since they give us funding

 

Budget – next time (did not get as much from BD this year)

o   Last year $7500; This year $5000

o   More students this year

o   Casey and Brooke are working on the budget

o   We asked for $6000 from department but will probably not get it

 

Fundraising

·         Grants?

·         Field Faculty meeting

o   35 Field faculty but never have a meeting

o   Function for all them

o   Provide childcare, some other things for them

o   They pay to fund BMES and for service

·         Faculty night out

o   Same premise as for meeting

o   Make it less expensive than them actually going out on their own
